Vehicles enter the balance of the enterprise and must be subject to accounting, and it does not matter at all how soon they will be put into operation. All vehicles are given an inventory number, according to the numbering that is presented in the vehicle accounting book, where they are all listed as they arrive at the enterprise. The assigned number is not transferred to other vehicles, even if their first "owners" were sold and / or decommissioned.

An electronic vehicle accounting book is, in fact, a database of vehicles formed in the automation program, where a "personal file" is established for each vehicle, which indicates the assigned inventory number and other personal information, including the make and model, state registration number , year of manufacture and numbers of the main parts of the vehicle, in particular, the number of the engine, body, chassis, as well as the passport number, date of receipt and date of cancellation. In addition to this information, which must be placed in the accounting book, the transport base also contains information about the technical condition of the vehicle, indicating the mileage, speed, carrying capacity and a list of replaced parts, assemblies and other names of repair work. It also marks all maintenance periods and determines the dates for the next technical inspection, indicates the flights performed on specific routes.

This information about vehicles is entered into the electronic database in the course of work by vehicles, therefore, such a database is a more detailed source of information than a traditional accounting book. In addition, the electronic database (read - the accounting book) contains data such as fuel consumption by a vehicle - standard and actual, since the automated accounting system provides information on the calculated indicator for all types of vehicles and the actual one obtained by measuring fuel in tanks up to and after the flight. In the electronic book of accounting, it can be noted which of the drivers is attached to specific vehicles, what is the wear and tear of car tires, the battery charges are recorded and other current information.

In theory, a traditional accounting book is intended for keeping an inventory of vehicles, while an electronic accounting book allows you to organize more quantitative accounting. This is the advantage of the electronic format, since the company independently decides what information it needs and how it is more convenient to place it in the book, and the information that is required in printed form for submission to various inspection bodies will be automatically transferred to the format prepared for printing. ... In the e-book format, in addition to the transport database, other databases are presented that are required by the car company to carry out efficient transportation activities, including the counterparty database and the nomenclature, which contains the range of products used for industrial and economic activities. This is a kind of electronic accounting books, in the first case - interactions with customers and suppliers, in the second case - the movement of goods in the enterprise.

In addition to them, a database of drivers has been formed - an electronic book, where the qualifications, experience and volume of work performed by the driver at this enterprise are noted, and this information is regularly updated - transportation is carried out, the number of flights worked is growing, penalties and incentives appear. An e-book can be attributed to the production schedule, where the planning of transportation takes place, and from the information provided in it, it is possible to assess the efficiency of using transport at the enterprise. An electronic book is a database of orders created to register requests from customers, while it contains completely different requests, including an order for transportation and / or only for calculating its cost. An e-book can be attributed to the base of invoices, compiled automatically when moving goods and sending goods, while the generated documents are divided by statuses in accordance with their purpose.

The e-book is a convenient format for keeping records of all types of enterprise activities, as it displays their current state, which allows you to quickly assess work processes and make an appropriate decision on their correction.
