Organization of transportation accounting by the USU Software is in the ‘References block’ - one of the three sections that make up the automation program menu for enterprises that specialize in transportation. The other two blocks, ‘Modules’ and ‘Reports’, carry out different activities. The first of them is operational, where the actual accounting and organization of transportation are carried out. The second is evaluative, where both the organization itself and accounting of transportation are analysed.

If we consider the organization of transportation accounting in the Directories block, it should be noted that it begins with the placement of information about the organization itself, which is engaged in transportation, including information about its assets, intangible and material, staffing table, branches, warehouses, sources of income, items of expenditure, customers who order transportation, carriers that provide their transport for transportation, and others. Based on this information, the regulation of work processes is established in the block and already considering it, the organization of traffic accounting is carried out. In other words, the hierarchy of accounting procedures is determined. The accounting method and calculation type are selected, which are performed automatically in the program.

To ensure automatic calculations, a regulatory and reference base is built into the References section, which contains all the provisions and regulations of the industry, norms, and rules to perform operations related to the organization of transportation, based on which the calculation is organized such as the cost estimate of each operation, which allows you to decompose the production process into elementary components, or operations that have a specific cost. When organizing the calculation, including the calculation of piecework wages to personnel and the cost of routes, the final indicator will be the sum of the costs of those operations that are included in the volume of work for which the accounting and related calculations are kept.

For example, the organization of accounting for goods and cargo prepared for transportation is implemented through the nomenclature, where all the listed items have their nomenclature number. Their movement is recorded by way of invoices in automatic mode, which also form their base. To organize customer accounting, a CRM system is provided, which contains their personal and contact data. The history of interaction can be saved, and work is planned with each of the clients. For organizing the accounting of transportations, the most significant database is the order database, where all the orders that have ever been received from customers are concentrated. To organize this database, applications are being registered using a special form called the order window.

It should be noted that work in databases is already transferred to the Modules block since the current work is the subject of operational activities, while the Directories block is only settings and reference data, considering which the organization of the production process is taking place. Accounting and organization of transportation are carried out in Modules, and the order window is prepared just for the organization of transportation following the client's request. The order window has a special format. All electronic forms intended to enter information, primary or current, have this format.

The feature of the accounting organization program is that data entry is not carried out from the keyboard but the option corresponding to the application is selected in the drop-down list box and only the primary information is typed manually. The client base is also classified by categories, but in this case, it is chosen by the company. The catalogue is attached, which is convenient and allows you to work by target groups. The CRM system continuously monitors customers by the latest dates of contacts and generates a daily work plan for each manager, controlling its implementation.
