Accounting of transportation and delivery, automated in the USU-Soft system, allows you to control transportation and delivery, more precisely, all costs associated with transportation and delivery, including material, financial, time and labor. It is very convenient, as it allows you to make timely edits to work operations in order to exclude the occurrence of emergency situations during transportation and delivery, and if they do happen, then promptly respond to them. The organization of accounting for transportation and delivery begins in the automation program with the distribution of information over the structure of the information system. The automated accounting system has a simple menu and consists of three sections - Directories, Modules, Reports; their participation in accounting is determined as in the sequence "organization> maintenance> evaluation", according to the specified order.

The Directories section, which is filled in first when organizing the accounting of transportation and delivery, is one of the most important sections, since it is here that the functions and services are configured, which are used further for automation, including accounting. Here they choose the language of the program - it can be any of the world ones or several at once. It is determined which currencies will be used when conducting mutual settlements with counterparties - one or several, the applicable VAT rates, payment methods and financial items of organizing income accounting are indicated. Next, they choose the regulation of work processes and accounting procedures, including the organization of accounting of transportation and delivery, according to which the distribution of production resources and accounting of all activities as a whole and separately for each resource will take place.

In this section, the organization of the calculation of work operations is carried out, from which the production and economic activities of the organization itself, including transportation and delivery, are formed. This allows the program to carry out automatic calculations. The choice of regulations is based on information about the organization, including a list of its assets, tangible and intangible, staff members, a list of branches and employees who are allowed to work in the automated accounting system. Setting up the calculation is carried out taking into account the norms and rules of carrying out work operations presented in the Directories database in the industry, whose specialization is transportation. As soon as the settings are made, the implementation of accounting procedures is conducted, in accordance with the established regulations. The Modules section is the only one where staff members are allowed to work and make changes to the system of recording work readings when performing assigned duties, to store their electronic logs, intended, among other things, to display the status of transportation and delivery.

This section is intended for conducting the operational activities of the organization and all types of accounting, including accounting of transportation and delivery. The entire documentary archive, current registers and databases are located here, production indicators are formed, wages are accrued by users, orders of transportation and delivery are made, the optimal routes are selected from those available for the organization and the optimal performer is selected from the register of carriers generated by the program, taking into account all the advantages and disadvantages that are marked against each. At the end of each reporting period, the program provides summaries with an analysis of all the activities of the organization, which are compiled in the Reports section and give an objective assessment of the work of the organization as a whole and each employee separately, each transportation and delivery, each client and each supplier, advertising sites, etc. Regular analysis of processes, subjects and objects allows you to get rid of the negative factors identified during transportation and delivery, to increase the profitability of the organization.

It should be noted that all sections have the same internal structure - they contain tabs with the same heading, but the information in them, albeit from the same category, differs in the fact of use. If the "Money" tab in the Directories is a list of sources of income and expense items, VAT rates and payment methods, then the "Money" tab in the Modules block is current registers of financial transactions, accounting reports, distribution of receipts by income sources specified in settings, and write-offs of expenses, according to the items listed there. The "Money" tab in the Reports section is a summary of the movement of funds, a visual report on the participation of each item in the total amount of expenses, sources of payment in the total amount of income. In the same block, the actual costs of all transportation and deliveries are presented in general and for each separately; the profit received from all transportation and deliveries in general and for each separately is shown. This makes it possible to determine which transportations and deliveries are the most profitable, which are the most popular, and which are unproductive. This is how transportation and delivery accounting works.

The task of the system is to reduce labor costs when employees perform work operations, accelerate information exchange between services, approval processes. The proposed electronic approval is designed to reduce the time for making decisions; a general document is drawn up for it on the sequential collection of electronic signatures. Communication between all services is supported by the internal notification system; it purposefully sends messages, reminders in the form of pop-up windows on the screen. With electronic approval, a click on the window opens a common document with signatures; its color indication allows you to quickly evaluate the instances passed in approval. The program keeps records of any transportation and delivery, including one type of transport and/or several (multimodal), transportation of consolidated cargo, full freight. Acceleration of work operations is achieved by the introduction of unified forms of maintaining records of performance indicators. The work performed by users is recorded according to the operations noted in the journals; this is the base for the automatic accrual of monthly remuneration to employees.

In addition to choosing the optimal route, the transport company that is optimal for its implementation is automatically selected, which allows you to reduce transportation costs. Accounting of products and cargo is carried out using the nomenclature, which contains the entire range of commodity items, and automatically compiled invoices that record their movement.
